Grants Tracker

Project Grant and School Grant applications for the Environment Grants Program must be submitted online using a grants management system called Grants Tracker. To do this you must be registered with the system. If you are unsure whether your organisation or school is registered or have forgotten your logon or password it is best to contact the Grants Manager on (08) 8924 4002.

What is Grants Tracker?

Grants Tracker is a grant management system that allows you to:

  • Make/save applications;
  • Monitor the status of applications/projects;
  • Acquit successful grants; and
  • Keep historical records of all applications your organisation has made.


The advantage of this system is that it is also used by grants programs run by the Northern Territory Government. These include:

  • Department of Sport, Recreation and Racing - Sport Grants;
  • Department of Arts and Museums - Art Grants; and
  • Department of Lands Planning and the Environment - Heritage Grants.

Grants Tracker is available at https://grantstracker.nt.gov.au

To start using Grants Tracker click on the above link to be taken to the Grants Tracker portal. Save the link in your favourites for your future convenience. If you have not used the system before or if you are unsure what your organisation or schools logon/password is it is best to contact the Grants Manager on (08) 8924 4002.

Grant Tracker FAQs

Do I have to complete my application on line?

Yes, to capture all the information we need, you must complete the application on line. If you don't own a computer you can also apply using computers at your local library, internet café, community centre, Shire Council Office and drop in centre. If you have difficulty either accessing a computer or working through the application, you can contact the grant manager on (08) 8924 4002 who may be able to help you.

When can I apply for a grant?

Grants are only visible in Grants Tracker while the grant round is open.  You have until midnight (AEST) on the advertised closing date to complete and submit your online application. Please refer to the Environment Grants page for cut off dates.

Technical assistance for Grants Tracker is only available during business hours. For this reason we strongly recommend applying well in advance to avoid technical or other difficulties that may occur. If you do experience technical difficulties with Grants Tracker contact the grant manager on (08) 8924 4002.

Can I save my application and come back to it later?

Yes, it is saved at the last point you hit the save button. You can update, change, withdraw the application at any stage until it is submitted or the grant round closes.

How do I enter information in the forms?

On the right hand side of every screen there is an edit button. Select this button, enter information, then hit the save button.

What happens once I have submitted an application?

Once you've submitted your application you will receive an auto-generated confirmation email with an application number. You should keep this email– it is your proof that your application was received on the date you sent it.

What if I want to withdraw my application?

You cannot withdraw your grant application via the online system. If you want to withdraw your application after you've submitted it, notify the Grants Manager on (08) 8924 4002 or email environmentgrants@nt.gov.au

Can I view all my grant information in the one place?

Yes, you can view any grants that you have ever applied for in Grants Tracker, view the status of them and see the history of completed grants as well.

Can more than one person in my organisation access  Grants Tracker?

Yes, the main contact in your organisation can contact the Grants Manager on (08) 8924 4002 and set up additional logins for other users who can then access grant information. Please be conscious of your own security when setting up additional logins.

What if I have supporting material?

Most grant applications require you to attach additional information to support your application. Please check the guidelines for your grant application before applying so that you know what documents you might need.

  • You can attach electronic copies of support material to your application up to 10Mb.
  • Grants Tracker supports the following file formats: .csv, .dat, .db,.doc, .docx, .log, .msg, .pps, .ppt, .pdf, .rtf, .txt, .wps, .mdb, .xls, .xlsx, .xml, .bmp, .png, .psd, .tif, .zip, .rar, .jpg, .gif
  • If your support material is only available in hard copy and cannot be scanned (such as books, DVDs, CDs and videos) you may mail it to us but it must be post marked on or before close of business on the closing date.

What if my details have changed?

You can view your person or organisational details by either clicking on the large [click here to update your personal information] button when you first log in, or by clicking on [My Profile] in the left hand side menu. These details can be updated in the same manner as described above.

Can I re-use a Grant application?

Yes, you can re-use any previous grant application to resubmit in the same Grant Type. This is done at the start of an application process. If your previous application was deemed ineligible you can change your responses if conditions have changed. If your previous application was unsuccessful it is recommended that you contact that Grants Unit to discuss how you may improve your chances of being successful.

What about reporting and acquitting Grants?

You will be able to do all your reporting and acquittals online. Once approved a "Reporting and Acquittal' tab will appear. In this section you will be able to report against the grant obligations as agreed in the funding contract.
